Who we are
TBC — registered entity name collects and holds the information described below for the Wānaka HYROX Simulation. We handle it in line with the Privacy Act 2020. Questions or requests go to hyroxsim@racewanaka.co.nz.
What we collect
- About each athlete: name, date of birth, gender, t-shirt size, and optionally email and phone. Date of birth is used to work out your age grade.
- About whoever enters: name, email and phone.
- Emergency contact: a name and phone number for someone not racing.
- What you tell us: anything you write in the notes or adaptive fields, including health and accessibility information you choose to share.
- Payment: the amount, currency, a reference number and the payment status. Card numbers go straight to Airwallex and never reach us.
Why we collect it
- To register you, take payment and send your confirmation and wave time.
- To time you and publish results in the right category.
- To reach someone if you're hurt or unwell on the day.
- To plan the adaptive division properly — equipment, standards and support agreed with you individually.
- To order the right race packs and t-shirt sizes.
Health and accessibility information is only seen by the people who need it to run the event safely.
Who else sees it
- Airwallex — payment processing.
- Supabase — the database holding your entry.
- Resend — sending your confirmation and event emails.
- Vercel — hosting this website.
- Our timing and medical providers on race day — TBC, to be named here once confirmed.
Some of these providers store data outside New Zealand. We don't sell your information, and we don't share it for anyone else's marketing.
Results and photos
Published results include athletes' names, category, age grade and times. Photos and video from the event may be used to promote it. Email us before race day if you'd rather not appear.
Emails you'll get
Entering means you'll get emails about this event — confirmation, wave times, race week information, results. If we later send anything promotional about future events, every message will have a one-click unsubscribe.
How long we keep it
Entry and results data is kept for TBC years so we can publish historical results and meet our tax and insurance obligations. Health and accessibility notes are deleted within TBC months of race day.
Your rights
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it where we're not required to keep it. Email us and we'll respond within 20 working days.
Cookies
This site sets no advertising or tracking cookies. The only cookie we use is a session cookie on the organisers' admin page. TBC — update this if analytics is added.
